I would build that routine around structured observation, not just reacting to whoever presses the call button. On a long-haul flight, the crew should have regular scan points where they are looking for early signs of passenger discomfort, brewing conflict, medical changes, intoxication, or service gaps before those issues become formal complaints.
I would also define what has to be shared with the rest of the crew and what can stay local. For example, a one-off blanket request stays local, but a passenger growing more agitated, a vulnerable traveler who needs repeated help, or a pattern of frustration around the same service issue should be surfaced quickly.
